The sample receipt stage of the lifecycle can be used to mark the point in which the physical samples arrive to the laboratory for testing. Once a job has been submitted the samples will be available to receive. At this stage specifications can be applied to the samples.

Users must be assigned the Lifecycle: Receive Samples  permission in order to receive Samples.

To locate a job for sample receipt:

  1. Select the Lifecycle > Receive Samples menu from the sidebar or click on the [ Receive Samples ] icon in the header.
  2. Click on a job in the left list to load the job details. Jobs will be grouped by client if you have more than one client associated with your user account.


Applying a Sample Specification

A sample specification can be applied to each sample during Sample receipt. The specification can be selected from one or more specifications assigned to the product. The selected specification will be used to compare against test results following results submission and will also be used for reporting on the sample certificate.

To apply a specification to a sample:

  1. Select the Specification drop-down for the sample you wish to apply a specification for.
  2. Select the specification from a list of specifications associated with the product.
    1. The specification will default to ‘None’.
    2. If you wish to remove the assigned sample specification, you can set the specification back to ‘None’.

If the same specification applies to more than one sample within the current product list, the [ Copy to other product samples ] button can be used which will set the same specification to the remaining un-received samples on the same product.


Editing Job Details

If you need to modify any of the job details before you receive, you can do this by clicking on the job ID under the Job Details  section. This will take you to the Job Viewer where you can view the remaining job details and make any amendments where necessary. See Job Viewer for more information.

To return to sample receipt, select the [ Back ] button.

This will take you to the Sample Viewer  where you can view the remaining sample details and make any amendments where necessary. See Sample Viewer for more information.

To return to sample receipt, select the [ Back ] button.


Sample Labels

At sample receipt there are two ways you can download sample labels if you have the Sample: Download label  permission.

  • Single sample labels can be downloaded via the [ Download ] button on each sample row.

  • Multiple labels will be downloaded if the checkbox next to the Receive  button labeled Download sample for selected samples on receipt  is checked. The selected samples will have their labels downloaded into a single file when received. (The checkbox will remember your last used value for next time).

The label(s) will open a pdf in a new tab from which you can download/print as desired.


Receiving Samples

When ready you can check which samples are ready and receive with the [ Receive ] button.

It is not necessary to receive all samples in a job at the same time. For example, if a job has been submitted for testing of 5 samples but only one has arrived on site, you may receive the 1 sample and leave the remaining 4 samples awaiting receipt. To the right of each product sample list, a receipt summary is given showing how many samples have already been received.

Once all samples have been received, the job will be available in the left list until you leave the page.

You can select another job or exit the page once you have finished receiving your samples.
