1. Overview
The next update to LabHQ will include new features, improvements and defect fixes to optimise your LIMS experience. This change summary provides a comprehensive overview of what to expect, including a list of changes and impact assessments.
1.1 Impact Assessment Guide
Software changes can vary widely, therefore an impact assessment is carried out for each change using the following impact scoring system.
Each feature is assessed across four key criteria, with scores assigned on a scale from 1 (Low Impact) to 5 (High Impact). The total impact score is the sum of all individual category scores.
- Compliance & Regulatory
1 - No effect on compliance or regulatory processes.
3 - Enhances compliance processes but does not require revalidation.
5 - Direct impact on regulatory adherence, requiring revalidation.
- User Experience & Training
1 - No training required, feature is intuitive.
3 - Some training or documentation updates may be needed.
5 - Major changes requiring user training or new SOPs.
- Data Integrity & Security
1 - No effect on data security or integrity.
3 - Enhances security or data handling but does not require urgent attention.
5 - Introduces critical security updates or requires policy changes.
- Configuration
1 - No changes required.
3 - Some configuration needed.
5 - Significant setup or reconfiguration needed.
Total Impact Score Calculation
Total score = Sum of all category scores (Max: 20, Min: 4)
Based on the total score, the impact level is classified as:
4-8: Low impact (Minimal changes needed, no disruption)
9-12: Moderate impact (Some configuration or training required)
13-16: High impact (Significant changes, compliance involvement may be required)
17-20: Critical impact (Requires validation, training and/or rollout planning)
2. Production Environment Updates
This details the features and defect fixes that will be available in production from the scheduled deployment date.
2.1 Features

Area: Jobs & Samples
- 2811 - Edit Job IDs during submission
- Job IDs can now be edited during job submission, allowing you to apply your own prefixes or naming conventions before the job and associated samples are created.

- 2542 - Lock approved job & sample details
- Job and sample details can now be protected from further editing once they have been approved in the lifecycle, helping to ensure approved records remain unchanged.

- 12 - Moderate impact
- 2122 - Sample storage locations
- Record and track the physical storage location of samples directly within LabHQ, making it easier to locate samples throughout the lifecycle.

- Improve sample traceability throughout the lab
- Reduce time spent searching for physical samples

- 2736 - Job & sample timeline information
- Key lifecycle dates, including submitted, received and completed dates, are now displayed within the job and sample viewers, making it easier to track progress at a glance.

- The job and sample viewers have been refreshed with an updated interface, improved filtering and enhanced search capabilities, making it quicker and easier to find and review information.

Area: Reporting & Certificates
- 1862 - Bulk download sample certificates via LabHQ Portal
- Portal users can now download all available sample certificates for a job in a single action. Each certificate is provided as a separate document, preserving its individual formatting, headers and footers.

- Save time by downloading multiple sample certificates at once
- Maintain the formatting and structure of every sample certificate

- 2549 - Report template preview
- Preview custom report templates before making them available for use, allowing you to verify the layout and formatting without needing to complete a full lifecycle.

- 2807 - Additional sample label tokens
- Additional data tokens are now available for sample labels, including sample reference, client, due date and location, giving you greater flexibility to include the information most relevant to your lab.

- 2337 - Product attachments
- Upload and store attachments directly against products, making important product-related documentation easily accessible from the product details within the sample lifecycle.

- 2540 - Separate edit & publish permissions
- Editing and publishing permissions for static data can now be assigned independently, giving administrators greater control over who can make changes and who can review and publish updates.

- 2683 - View static data
- Users can be granted permission to view static data configuration, allowing them access to relevant setup information from linked areas of the application.

- 2538 - Increased character limits
- Character limits have been increased for static data names and batch numbers, providing greater flexibility when entering longer identifiers.

Area: Organization Settings
- 2032 - Organization timezone
- Administrators can now configure an organization timezone, ensuring dates and times displayed throughout the application, as well as reports and labels, are consistent with your local time.

Area: User Experience
- 2541 - Unsaved changes warning
- The app will now warn if you if you attempt to leave a page while creating or editing data that has not yet been saved, helping to prevent accidental loss of work.

- Gives users greater confidence navigating between screens in the app

Area: Inventory
- 1801 - Automatically remove depleted stock batches
- Stock batches are now automatically removed from the available inventory once their quantity reaches zero, helping to keep inventory accurate and up to date.

- Display only stock batches that are currently available
- Reduce clutter in inventory views

- 2030 - Decimal stock quantities
- Stock quantities can now be recorded with up to three decimal places, making it easier to manage stock in practical units without needing to convert values into the smallest unit.

2.2 Defect Fixes
This update will address the following issues:
- 2693 - Coordinate input validation
- Added validation to the product specification coordinate fields to prevent excessively long values from affecting the page layout and improve data entry reliability.
- 2700 - Recently received stock quantity
- Corrected recently received stock page to display the quantity originally received for each stock batch, rather than the current remaining quantity.
- 2810 - Growth tier reporting access
- Resolved an issue that could prevent Growth tier users from accessing the Export results feature from the Reporting menu, ensuring that functionality aligns with the available features for the Growth subscription tier.
