Attachments

The Attachments feature allows you to upload and manage files against jobs and samples. This provides a convenient way to store supporting documentation alongside lab work, ensuring that files are available throughout the sample lifecycle.

Example files might include:

  • Customer documentation
  • Photographs
  • Instrument output files
  • Supporting files

Attachments can also be shared with external users through the Portal, allowing customers to securely download selected files without requiring them to be sent separately.

Accessing Attachments

Attachments are available from both the View Job and View Sample screens.

Select the Attachments tab to view all files associated with the current selected job or sample.

If attachments have already been uploaded, the tab displays a badge showing the number of files currently attached.

Each uploaded attachment displays:

  • File name
  • File size
  • Upload date and time
  • Current visibility (internal only or visible on portal)

Uploading an Attachment

To upload an attachment:

  1. Open the Attachments tab.
  2. Click Browse.
  3. Select the file from your computer.
  4. The file is uploaded and added to the attachment list.

New attachments are marked as Internal Only be default.

Attachment Limits

The following limits apply to attachments:

  • Maximum file size: 30 MB per file
  • Maximum attachments per job/sample: 1,000 files

Files larger than 30 MB cannot be uploaded.

Downloading Attachments

Attachments can be downloaded at any time.

To download an attachment:

  1. Locate the required attachment.
  2. Open the Actions (⋮) menu.
  3. Select Download.

Alternatively, you can click on the filename from the attachments list to download it.

The file will download using its original filename.

Deleting Attachments

If an attachment is no longer required, it can be removed from the job or sample.

To delete an attachment:

  1. Open the Actions (⋮) menu.
  2. Select Delete.

Deleted attachments are removed from the job or sample and will no longer be available for download.

Sharing Attachments with Portal Users

By default, all attachments are internal only and are only visible to main users of the LabHQ application.

Attachments can be shared individually with portal users by changing their visibility.

To make an attachment available through the portal:

  1. Locate the attachment.
  2. Click the visibility control in the Visibility column.
  3. Select Visible on Portal.

The attachment is immediately available to authorized portal users.

If you no longer wish to share an attachment, you can change it back to Internal Only either by:

  • Selecting Internal Only from the Visibility dropdown, or
  • Choosing Make Internal Only from the attachment's Actions (:) menu.

When an attachment is returned to Internal Only, it is immediately removed from the portal and is no longer accessible to external users.

Attachment Visibility

Each attachment has one of two visibility states:

Internal Only

  • Visible only within the main LabHQ application
  • Hidden from all portal users

Visible on Portal

  • Visible within the main LabHQ application
  • Available for authorized portal users to view and download

Visibility can be changed at any time without affecting the attachment itself.

Viewing Attachments in the Portal

Portal users can access attachments directly from their jobs and samples without having to contact the lab.

When users click on a job or sample, the Attachments tab displays the number of shared attachments available. This count only includes attachments that have been marked as Visible on Portal.

For each shared attachment, the portal displays:

  • File name
  • File size
  • Upload date and time
  • Option to download

Portal users can download shared attachments as required.

Portal users cannot:

  • View attachments marked as Internal Only
  • Upload attachments
  • Delete attachments
  • Change attachment visibility

Only attachments that have been explicitly shared by the lab are available within the portal.

Permissions

Attachment management is controlled through user permissions.

Depending on your permissions, you may be able to:

  • Add attachments
  • Delete attachments
