Exporting Certificates

LabHQ allows certificates to be generated as either PDF or Microsoft Word (.docx) documents. This gives labs greater flexibility when preparing reports for clients, allowing additional formatting, annotations or supporting information to be added before a certificate is issued.

Microsoft Word certificates also support embedded images and charts, making it possible to include photographs, instrument outputs and other visual evidence directly within the certificate.

Before You Begin

Microsoft Word certificate output is controlled at an organization level. By default, the setting is disabled.

To enable Word certificate generation:

  1. Navigate to System Settings > Workflow.
  2. Locate the Enable DOCX Certificate Generation setting under Certificate Settings.
  3. Cick to enable the setting.
  4. Save your changes.

Generating Reports in Word Format

Word certificates can be generated anywhere certificates are normally produced, including:

  • Job Details
  • Sample Details

The process for generating reports in Word remains the same.

  1. Generate a certificate.
  2. Select the certificate template as normal.
  3. If both PDF and DOCX outputs are enabled, choose the required output format.
  4. Generate the certificate.

If only PDF output is enabled, no additional selection will be required and the report will be generated in PDF format automatically.

Note

Output format selection is only available when generating or regenerating certificates. Certificate previews are always previewed as a PDF.

Report Formatting

When exporting to Word:

  • Report layout is preserved
  • Tables, formatting and styling are retained
  • The document can be opened and edited using Microsoft Word or other compatible word processors

This allows labs to make final adjustments before distributing the certificate where required by their processes.

Adding Images & Charts

Microsoft Word reports support embedded images and charts within report templates.

Depending on how your report template has been designed, these can be used to include:

  • Sample photographs
  • Microscopy images
  • Instrument charts
  • Graphs
  • Support visual evidence

These items become part of the generated report, removing the need to manually combine separate reports or append supporting documents after generation.

Downloading Certificates

When downloading an existing certificate version, the report format is displayed for reference and the report will be downloaded in the format it was initially generated in.

The blue document icon denotes Word format, whereas the red PDF icon denotes PDF format.
