Equipment maintenance helps manage maintenance events for your equipment items. It is designed to help track and visualize maintenance events in a calendar view.
The maintenance screen allows you to:
- View scheduled maintenance events for all equipment items.
- Progress maintenance events for equipment being maintained.
- Navigate through months to see past or upcoming maintenance events.
- Distinguish between difference types of maintenance events using color-coded indicators.

Progressing Maintenance Events
Viewing Maintenance Events
To view the maintenance event calendar, navigate to Equipment > Maintenance from the main menu.
📒 This screen is only available to administrators and users with the Equipment Maintenance: Manage
permission.
The calendar displays all scheduled maintenance events for the current month. Maintenance events are populated based on the maintenance configuration of each equipment item.
You can use the [< ] and [ > ] buttons to move between months. Use the [ Today ] button to move back to the current month. The [ Today ] button is disabled when already on the current month.
Progressing Maintenance Events
Maintenance events can be progressed as the related equipment is being maintained.
To do this, select the maintenance event you want to progress on the calendar. A dialog will appear with options that vary based on the event’s status:
- Planned events: select [ Set In Progress ] to begin.
- In Progress events: choose either [ Pass ] or [ Fail ] to set the outcome.
- Completed events: select [ Approve ] to finalize them.
If your organization has enabled e-signatures, you’ll need to provide one to approve the maintenance event.
Calendar View
Current Month Display
The calendar opens to the current month by default, showing all scheduled maintenance events for that month.
Recurring Events
Maintenance events are generated based on the Date of first event and Frequency (days) of the events.
Color-coded Events
Green: Represents Service type maintenance events.
Blue: Represents Calibration type maintenance events.
Overdue Events
An event is overdue if its event date is earlier than today and its status is Planned
. A 🔔 icon will appear on events that are overdue. Events in the future or have statuses In Progress
, Completed
, or Approved
are not considered overdue.
Calendar Filters
You can filter the events shown in the calendar. The fields you can filter on include:
- Event type
To use the event type filter, simply change the dropdown to the specific event type you wish to see on the calendar. To remove the filter, simply select the '-' value.
